Draft for review. This is not a substitute for advice from a solicitor.
Privacy notice
UBL HOLDINGS LTD (company 11940647), Henge Barn, Pury Hill Business Park, Alderton Road, Towcester, Northamptonshire, NN12 7LS, is the controller for the account and profile data in Tenvidra. Published procurement notices are reused under the Open Government Licence and are not collected from you.
What we store
Company name, contact email, sector, CPV codes, regions, contract size, turnover, insurance figures, certifications, past-work notes, and the bid library of answers you choose to save. If you upload a tender pack we store the extracted text and the draft. Invoices record the plan, amount and payment reference. The weekly digest records when an email was produced and where it was sent.
Notices from Find a Tender, Contracts Finder and Public Contracts Scotland
These are public records. A notice can still contain personal data, usually a buyer contact. We keep that so you can respond to the notice. We do not put personal email addresses in the weekly digest, and we do not use buyer contacts as a marketing list.
Models
The default installation runs in mock mode. Match scores are rules, not a model, and drafts are assembled from your bid library on this machine. If you set an LLM provider and an API key, the question text, the relevant library answers and the company profile are sent to that provider to rewrite a draft. Do not turn that on for documents you are not allowed to share with that provider.
How long, and who else sees it
Data sits in a SQLite file on the server that runs Tenvidra. We do not sell it. A payment provider is used only if you switch invoicing to Square, in which case the invoice details needed to raise that invoice are sent to Square. Bank details for manual invoices are whatever the operator configures.
Your rights
You can ask for a copy of the profile and library, a correction, or deletion, by writing to the registered office. You can also complain to the Information Commissioner's Office. The operator should confirm whether an ICO fee is due before processing customer data in production.
